Let’s be honest: chasing down signed job descriptions is nobody’s idea of a good time. You know the drill: print out a stack of PDFs, walk them around the office (or worse, mail them), wait for signatures that arrive sometime between “next week” and “never,” and then file them in a cabinet that hasn’t been organized since 2017.  

In healthcare, though, this is more than an administrative headache. Organizations are required to demonstrate that employees understand their roles and responsibilities, maintain documentation for accreditation and regulatory purposes, and produce signed records when auditors or surveyors come calling. When those records are scattered across filing cabinets, shared drives, and email inboxes, proving compliance can quickly become a stressful exercise in detective work. 

When the auditors come knocking, suddenly everyone’s playing detective, flipping through folders, filing cabinets, shared drives, and email inboxes while hoping for the best.

Most healthcare organizations require employees to review and acknowledge their job descriptions on an annual basis and when they are hired because of Joint Commission requirements. Below is an example of the requirement:

Employees must review and sign their current job description every year.

The exact version that was signed, plus the signature itself, must be stored and retrievable.

Regulatory and internal policy requirements demand proof that employees know their roles and responsibilities.

Once signed, the document should be locked down, with no edits and no deletions possible.

What the employee actually sees 

From the employee’s perspective, this is refreshingly simple: 

  1. A Journey task appears in their task list  
  2. They click “See Document” and their current job profile opens as a clean PDF, complete with sections for responsibilities, required licenses, education, and more. 
  3. They e-sign using the native signature pad (validated against their name on file; no forging your buddy’s signature here). 
  4. Done. The signed PDF is automatically saved to their document record. No follow-up needed. 

Behind the scenes: HCM configuration steps 

Now for the part HR admins and implementers care about. Here’s a high-level walkthrough of what it takes to set this up. (Don’t worry, it’s more straightforward than it sounds.) 

Step 1: Set Up the document type  

Navigate to Setup & Maintenance > Document Types and make sure you have an “Employment Agreement” document type. A couple of key settings: 

  • Document Name and Issued On must both be set to required
  • Under Restrict Settings, set both Restrict Update = Yes and Restrict Delete = Yes. This ensures nobody can tamper with a signed document after the fact. (Auditors love this part.) 

Step 2: Confirm your person name format 

Go to Setup & Maintenance > Manage Person Name Formats. Review your Display Name and Full Name formats. Pick the one you want to use for signature validation; this is how the system confirms the signer is who they say they are. 

Step 3: Configure the e-signature integration 

Head to Setup & Maintenance > Checklist Integrations and add a new integration with these settings:

Don’t forget to click “Validate” next to “Validate Integration Details” before saving. (Ask us how we learned that the hard way.) 

Step 4: Import the job profile report 

Import the Job Profile report into your BI Publisher environment via Tools > Reports and Analytics. Be sure to bring over both the report and the data model and reconnect them. This report is what generates the PDF that employees see and sign. 

Step 5: Create the Journey task 

Navigate to My Client Groups > Journey Templates and create a new journey (or add a task to an existing one). Key settings: 

  • Performer: Worker (the employee does this themselves) 
  • Task Type: Electronic Signature 
  • Signature Type: Electronic Signature – Native 
  • Document Type: Employment Agreement 
  • Report Path: Link your BI Publisher report path, appending the parameters for PDF format and e-signature fields (SignDate, SignerName, SignerEmail, AllocatedTaskId). 

Step 6: Allocate the Journey 

Finally, allocate the journey to your employees. You can do this in bulk using HCM Lists, making it easy to roll out annually across your entire organization. Set it and (mostly) forget it. 

Watch out for these common gotchas 

Even the best-laid plans can hit a snag. Here are the issues we see most often: 

Name format mismatch

If the person name format used for signature validation doesn’t match how the employee’s name appears in the system, the signature will fail. Double-check your Display Name vs. Full Name settings.

Report security

The BI Publisher report needs the right security grants. If employees can’t see the report, the journey task will show an error instead of their job profile.

Report modifications

If you customize the report template, make sure the data model connection stays intact. A broken link means a blank PDF, which is not a great signing experience.

Allocation outside onboarding

This journey is meant for annual sign-off, not just new hires. Make sure you’re using the right allocation method (HCM Lists) for existing employees.
